ABOUT THE EVENT

Thank you for your interest in joining the Renaissance Village! The Ottawa Pops Orchestra is transforming the courtyard at Carleton Dominion-Chalmers Centre into a lively medieval-inspired village filled with artisans, creators, performers, interactive experiences, and local vendors.

The Renaissance Village accompanies A Knight at the Symphony, a fantasy-themed orchestral concert featuring music from How to Train Your Dragon, The Witcher, Game of Thrones, Shrek, The Lord of the Rings, and more.

We anticipate welcoming approximately 1,000–1,400 ticketed attendees throughout the day, in addition to members of the public visiting the Village.

REGISTRATION

Applications are reviewed on a rolling basis. Accepted vendors will be contacted as space becomes available. If the application form is open, we are still accepting submissions.

EVENT SCHEDULE

10:00 AM – Vendor load-in and setup begins

12:00 PM – Renaissance Village opens

2:00 PM – Afternoon concert performance

7:00 PM – Evening concert performance

8:00 PM – Renaissance Village closes

8:00–9:00 PM – Vendor teardown

VENDOR INFORMATION

Participation is free. In lieu of a vendor fee, exhibitors are invited, but not required, to contribute a product, gift certificate, or other item to support the event prize draw.

Tables and chairs are available upon request. Access to electricity is limited and must be requested in advance. The event takes place outdoors. In the event of rain, a limited number of indoor vendor spaces may be available.

SELECTION PRIORITIES

Priority will be given to vendors, artisans, performers, and organizations that support the medieval, renaissance, fantasy, folklore, or historical atmosphere of the event. We are particularly interested in interactive experiences, traditional crafts, themed merchandise, local artisans, and consumable products intended for take-home purchase.

LOAD-IN AND PARKING

Vendor access is through the Lisgar Street entrance. A drop-off zone will be available for unloading. Free street parking and paid parking lots are available nearby.

VENDOR EXPECTATIONS

All vendors must be fully set up by 12:00 PM and remain operational until 8:00 PM unless otherwise arranged.

Vendors are responsible for their own payment systems. Displays and signage must fit within the assigned footprint. Tents and weather protection are not provided. Open flames are prohibited.

The Ottawa Pops Orchestra will manage all food, beverage, bar, and concession services for the event. Vendors may sell packaged or take-home consumable products but may not sell ready-to-eat food, beverages, or alcohol for on-site consumption.

Food and beverages are not permitted inside the sanctuary. Patrons attending either concert performance must consume purchases outdoors or take them home.

Costumes and themed displays are encouraged.
